Long-Distance Medical Transportation FAQs

Find answers about NationWide NEMT’s private, long-distance medical transportation, including healthcare personnel, patient monitoring, personal care, onboard comfort, pricing, and booking. Learn how we coordinate each journey and match transportation support to the needs of the person traveling.

1

Does NationWide NEMT provide licensed and certified healthcare personnel during transportation?

Yes. NationWide NEMT provides licensed and certified healthcare personnel for long-distance, state-to-state, and cross-country non-emergency medical transportation. Staffing options include Certified Nursing Assistants (CNAs), Registered Nurses (RNs), and Respiratory Therapists (RTs).
We select personnel according to the patient’s condition, mobility, personal-care needs, medications, respiratory requirements, and length of travel. Each professional provides support within their qualifications and authorized responsibilities. The assigned personnel and level of care are confirmed during transportation planning; not every trip requires all three roles.

2

What does a Certified Nursing Assistant (CNA) help with during long-distance transportation?

A Certified Nursing Assistant (CNA) assigned to a NationWide NEMT transport provides hands-on assistance with personal hygiene, toileting, brief changes, repositioning, meals, hydration, and everyday comfort according to the patient’s care needs.
This support helps patients who need assistance with daily activities during an extended journey. Care is provided with attention to privacy, dignity, and the patient’s established routines. CNAs also observe the patient and report concerns about changes in condition.
CNA support does not replace a Registered Nurse or Respiratory Therapist when the patient requires licensed nursing care or specialized respiratory care.

3

Can a Registered Nurse (RN) accompany a patient during long-distance medical transportation?

Yes. NationWide NEMT provides Registered Nurse (RN)-accompanied long-distance medical transportation when nursing care is included in the patient’s transportation plan.
The assigned RN provides nursing assessment, vital-sign monitoring and documentation, observation for changes in condition, and patient care within the nurse’s professional scope. Medication administration is provided when authorized, supported by the patient’s medical orders, and included in the agreed care plan.
Before departure, we review the patient’s nursing needs, medication information, and applicable discharge or hospice instructions. Nursing support follows the patient’s established medical orders rather than replacing the treating provider’s care plan.

4

Does NationWide NEMT provide Respiratory Therapists (RTs) for patients with breathing-related needs?

Yes. NationWide NEMT arranges long-distance medical transportation with a Respiratory Therapist (RT) when the patient’s transportation plan requires specialized respiratory support. This includes individually reviewed trips for patients using prescribed oxygen, a tracheostomy or trach collar, or a ventilator.
The assigned RT provides respiratory assessment, monitoring, attention to respiratory equipment, and prescribed respiratory care within the professional’s scope and the patient’s medical orders.
Respiratory needs, equipment, oxygen requirements, suctioning needs, and staffing are reviewed before the trip is confirmed. Not every patient who uses oxygen requires an RT; the staffing arrangement is based on the level of respiratory support needed throughout the journey. These services are arranged for planned non-emergency transportation, not emergency ambulance response.

NationWide NEMT provides private long-distance stretcher transportation for patients with a tracheostomy or trach collar. Services include prescribed oxygen support, respiratory observation, vital-sign monitoring, positioning assistance, and bed-to-bed transfers.
Suctioning, humidification, and other prescribed respiratory-care needs are incorporated into the confirmed transportation plan and handled by appropriately qualified personnel.
We coordinate with the patient’s care team to review the tracheostomy setup, oxygen requirements, suctioning frequency, supplies, and staffing. Respiratory Therapist support is arranged when required by the patient’s care needs.

Yes. NationWide NEMT arranges individually reviewed long-distance ventilator transports with a Registered Nurse (RN) and Respiratory Therapist (RT).
For accepted ventilator trips, the transportation plan includes respiratory monitoring, nursing support, prescribed suctioning and respiratory care, stretcher accommodations, and coordination with the sending and receiving facilities.
Ventilator equipment, prescribed settings, oxygen supply, electrical power, backup arrangements, and staffing are confirmed before booking. Family passengers are not accommodated on ventilator transports because the available cabin space is reserved for the patient, clinical team, and necessary equipment.

20

Can a family member accompany the patient in a NationWide NEMT vehicle?

Yes. One approved family companion rides at no additional transportation charge on eligible NationWide NEMT trips, with a captain’s chair provided in the confirmed vehicle setup.

Patients also travel without a family companion. Our assigned team provides the monitoring, assistance, and personal care included in the transportation plan whether or not a relative rides along.

21

How does NationWide NEMT determine the price of a long-distance transport?

NationWide NEMT prepares a personalized quote based on the pickup and destination locations, travel distance and duration, requested date, patient accommodations, healthcare staffing, and equipment required for the journey.
Your quote covers the agreed transportation plan, including the assigned vehicle and crew, fuel, tolls, route coordination, and the patient support and accommodations identified during planning.
We review the patient’s needs before finalizing the quote so the transportation price reflects the actual service required. Changes to the route, schedule, patient’s condition, or requested services after booking require review and, when necessary, an updated quote.

22

Does NationWide NEMT accept Medicare, Medicaid, or private health insurance?

NationWide NEMT is a private-pay transportation provider. We do not bill Medicare, Medicaid, or private health insurance for our transportation services.
Payment is arranged directly with the patient, family, or other financially responsible party according to the approved quote and payment terms. We provide a written transportation quote and payment documentation. (Financing will become available in the coming future)

23

What payment methods does NationWide NEMT accept?

NationWide NEMT accepts major credit cards, Zelle, cash, checks, and direct bank transfers.
No NationWide NEMT processing fee applies to cash, checks, Zelle, or direct bank transfers. Credit card payments carry a processing fee, which is disclosed before payment.
We provide the payment instructions for your selected method. A card payment link is available upon request.

24

What deposit does NationWide NEMT require, and when is the remaining balance due?

NationWide NEMT requires a 20% reservation deposit to secure an available transportation date. The deposit is applied toward the total transportation cost.
The remaining balance is due before or at the scheduled pickup time unless a different arrangement has been approved in writing.
Your approved quote identifies the transportation cost and payment terms. A quote request or pricing discussion alone does not reserve a vehicle or crew; the reservation must be confirmed with NationWide NEMT.

25

How does NationWide NEMT handle cancellations or changes to a booked trip?

Contact NationWide NEMT as soon as you know that a transportation date, pickup location, destination, or patient-care requirement needs to change.
We review the revised arrangements, including vehicle availability, staffing, travel requirements, and facility readiness, before confirming the change. Changes that affect the transportation plan may require an updated quote and additional charges.
Cancellations, deposit refunds, and applicable cancellation charges follow the written terms provided with your approved transportation quote and service agreement.

26

How far in advance should I book transportation with NationWide NEMT?

Contact NationWide NEMT as soon as you know the anticipated route and transportation date. Earlier coordination gives us more time to review the patient’s needs, arrange the appropriate team, prepare equipment, and communicate with the sending and receiving locations.
Transportation dates are reserved on a first-come, first-served basis and remain subject to availability until confirmed.
Our quotes are valid for three calendar days. Quote validity does not hold a transportation date without a confirmed reservation.

27

Does NationWide NEMT accept short-notice or same-day transportation requests?

NationWide NEMT reviews short-notice requests, including transportation needed the same day or within the next 24–48 hours.
Availability depends on the pickup location, vehicle and crew availability, required healthcare personnel, travel time to the patient, and readiness of the sending and receiving locations. Same-day transportation is not guaranteed.
For a short-notice request, call 844-636-8872 directly. We review the required arrangements and confirm whether the trip is available. Short-notice scheduling does not replace the patient-care review and preparation required before departure.

28

Does NationWide NEMT provide two drivers, and what stops are made during the trip?

Yes. NationWide NEMT provides two drivers for long-distance transportation. Drivers rotate responsibilities to support efficient travel while maintaining attention to safety and the patient’s needs.
The trip follows the agreed route without shared-passenger pickups. Stops are made as needed for fuel, meals, toileting, personal care, patient comfort, and safe crew operation.
We coordinate stops to avoid unnecessary delays, but we do not skip necessary care or safety stops to meet an arrival estimate. Overnight travel and arrival arrangements are coordinated with the receiving location.

29

How does NationWide NEMT keep families informed during transportation?

NationWide NEMT keeps designated family members or authorized contacts informed before pickup and throughout the journey. Updates cover departure, travel progress, the patient’s comfort, significant changes, and arrival planning.
Live GPS location sharing is available upon request so authorized family members can follow the journey.
We provide updated arrival information as the trip progresses and a more specific estimate when the team is a few hours from the destination. We also communicate with the receiving facility or caregiver so they are prepared for the patient’s arrival.

30

Does NationWide NEMT provide iPads, entertainment, and Wi-Fi during transportation?

Yes. NationWide NEMT provides onboard iPads with entertainment, including movies, television programs, music, and games. Our team helps select entertainment according to the patient’s interests and preferences.
The iPads have their own cellular internet connections. Wi-Fi access for personal devices is provided upon request.
We also assist with family video calls when appropriate for the patient. Internet access, streaming, and video calls depend on cellular coverage along the route; uninterrupted connectivity is not guaranteed in every location.

31

Does NationWide NEMT offer both a captain’s chair and a stretcher during the same trip?

Yes. NationWide NEMT offers premium captain’s-chair transportation, stretcher transportation, and a combined stretcher-and-captain’s-chair setup.
The combined arrangement provides a seated option and a place to lie down during the same journey for patients whose condition allows both positions. It also accommodates approved arrangements in which one person requires a stretcher and another travels seated.
We confirm the seating, stretcher, passenger, and staffing arrangement before booking. Any movement between the chair and stretcher is assisted while the vehicle is safely parked and follows the patient’s transfer and positioning requirements.

32

How does NationWide NEMT evaluate patient size, transfer needs, and access before confirming transportation?

NationWide NEMT reviews the patient’s weight, height, body dimensions, mobility, and transfer requirements before confirming the vehicle and equipment.
Requests involving bariatric accommodations or difficult transfers receive an individual review. Acceptance depends on equipment capacity, available space, appropriate personnel, and a workable transfer plan.
We also review stairs, elevators, narrow entrances, room access, and other obstacles at both locations. Any required assistance or additional equipment must be arranged before pickup. We confirm the transportation setup rather than assuming that every patient or building can be accommodated in the same way.

33

Can patients bring luggage, mobility aids, and personal medical equipment with NationWide NEMT?

Yes. NationWide NEMT accommodates personal belongings and approved mobility aids or medical equipment within the available storage space.
Tell us about luggage, walkers, wheelchairs, oxygen equipment, feeding equipment, and other items before the trip so we can confirm storage and transportation arrangements. Equipment needed during travel also requires review of its instructions, power needs, supplies, and staffing requirements.
Belongings received for transportation are documented at pickup and checked with the receiving facility or authorized representative at arrival. Oversized items and additional luggage require advance approval so patient-care areas and access remain clear.

34

Does NationWide NEMT coordinate with the sending and receiving facilities and prepare everything needed for the trip?

Yes. Facility coordination and advance transportation preparation are included in NationWide NEMT’s service. With the required authorization, we communicate directly with sending and receiving facilities, discharge planners, case managers, nurses, admissions teams, hospice providers, and family representatives.
Before pickup, we coordinate discharge timing, transportation readiness, room and unit information, building access, transfer assistance, and the appropriate facility contacts. We review the patient’s condition, mobility, medications, allergies, oxygen requirements, personal-care needs, dietary instructions, and equipment requirements.
We coordinate the transportation paperwork and request the applicable physician orders, medication list or Medication Administration Record (MAR), discharge instructions, and DNR, MOLST, POLST, or other advance-directive documents. We confirm arrangements for the patient’s medications, required supplies, medical documents, and belongings to accompany the trip.
Our team prepares the assigned vehicle, confirms the necessary equipment and supplies, and reviews patient-specific instructions before pickup. We also confirm that the receiving location is expecting the patient and that the necessary bed, caregivers, equipment, and arrival arrangements are in place.
Throughout the journey, we communicate transportation updates and coordinate the final arrival. At the destination, we assist with the transfer and hand over the patient’s transportation information, accompanying documents, medications, and belongings to the appropriate caregiver.
Families do not have to manage every transportation-related call between facilities. We manage the transportation logistics while the healthcare providers remain responsible for discharge decisions, admission, medical orders, and ongoing care.

35

What transportation services does NationWide NEMT not provide?

NationWide NEMT specializes in private, long-distance non-emergency transportation of 200 miles or more. We do not provide local medical-cab rides, routine local appointment transportation, emergency ambulance response, or advanced life support services.
Patients travel on a stretcher or in an approved captain’s chair. We do not transport patients while they remain seated in their own wheelchair. A personal wheelchair is reviewed separately as accompanying equipment, subject to storage capacity.
We accept a trip only when the patient’s needs fit the confirmed personnel, equipment, and transportation plan. If a medical emergency develops during the journey, our team activates 911 and coordinates transfer of care to responding emergency medical personnel.

36

Is NationWide NEMT fully insured and registered with the state?

Yes. NationWide NEMT is insured and registered with the state. Clients and facility representatives are welcome to contact us to arrange verification of our insurance coverage and business registration.
